For remote attendees, the boardroom's 360° conference camera captures the entire room, allowing everyone on the call to see all participants, enhancing the sense of collaboration. This camera, along with an integrated microphone and speaker system, ensures that audio and video are crisp and immersive, eliminating any need for additional devices or setup.

How to use this space
Thank you for choosing the Arizona Dental Association's rental spaces. To ensure a professional, clean, and safe environment for all guests, please review and adhere to the following rules for each rental space, including the Boardroom, Podcast Room, and Classroom.
1. Audio-Visual Equipment
- Additional In-House Audio-Visual Equipment Rental
The group is responsible for any damages to AzDA's audio-visual (AV) equipment incurred during use. The group may bring its own AV equipment or rent from an outside vendor, but AzDA cannot guarantee compatibility with outside devices. - Arrangements for Additional AV Equipment
If additional AV equipment is needed, the group must arrange the rental, set-up, and dismantling of such equipment. The group is also required to provide AzDA with the name of the delivery company and the setup and pickup times.
2. Clean-Up
- The group is responsible for leaving the meeting facility in its original state. A clean-up fee of up to $300.00 may be assessed if the space is not returned to its initial condition.
- Furniture
Chairs and tables must be straightened and returned to their original positions. - Trash and Materials
No used materials or trash should be left in the meeting rooms. All paper, plasticware, bottles, and cans should be placed in the provided trash receptacles. - Food Disposal
Leftover food must be removed or placed in trash receptacles. AzDA provides trash bags and receptacles for your convenience.
3. Food and Beverage Policy
- The group must be on-site to receive food deliveries. Do not provide AzDA's phone number to caterers or attendees; please use your own cell phones for communication.
- Kitchen Access
The AzDA kitchen is available for group use during the event, with access to a microwave (note: no stove is available). However, food and beverages stored in the AzDA kitchen are not included in the room rental and cannot be purchased through AzDA. - Charges for Soda and Bottled Water
If AzDA-provided soda or bottled water is used, the group’s credit card will be charged $3.00 per item. - Alcohol Policy
No alcoholic beverages are permitted on the premises.
4. Miscellaneous Rules
- Smoking
No smoking is allowed within the facility. - Candles and Open Flames
For safety reasons, no candles or open flames are permitted. - Loss of Key
$350 will be charged for the loss of the building key.
